Quality Standards and Release Inspection

Every unit passes a documented release inspection before it leaves: panel gaps and alignment checked against the opposite side, refinish inspected under corrected lighting, corrosion protection confirmed at every cut and weld, and all equipment reinstalled and function tested through a full cycle.

What a release inspection actually checks

Nothing leaves without a documented release inspection. Panel gaps and alignment are checked against the opposite side of the unit rather than against a memory of how it looked. Refinish is inspected under corrected lighting for colour match, texture and coverage at the edges where failures start.

Corrosion protection is confirmed restored anywhere a panel was cut, welded or drilled. That is the single most commonly skipped step in collision repair, and it is invisible for about two years, at which point it becomes the reason the same panel is back in the shop.

All equipment removed during repair is reinstalled and function tested. On a commercial unit that means liftgate operation through a full cycle, lighting circuits across every position, camera and mirror systems, and door and latch operation under load rather than empty.

Why measurement happens before refinish

On a unit that took structural work, measurements are confirmed against the manufacturer reference before any refinish work begins. The reason is economic rather than academic: a correctly colour matched panel on a frame that is still out of tolerance is a repeat visit, and the second visit costs the fleet another block of downtime.

Confirming geometry first means that if something is still out, it gets corrected while correcting it is still cheap. After refinish it is expensive, because the paint work has to be redone as well.

Documentation as part of the repair

Photographs are taken at intake, at teardown, during repair and at release. On carrier billed work that documentation goes with the scope at first submission rather than being produced later when an adjuster questions a line item.

This is the practical difference between a supplement conversation that happens once and one that runs across three rounds. An adjuster reviewing a line item that references a published manufacturer procedure with a photograph attached approves faster than one reviewing an assertion.

For the fleet, the same documentation is what supports an internal record of what was done to a unit, which matters when the unit is later sold, returned off lease, or assessed for a total loss on a subsequent claim.

What happens if something is not right

If a unit comes back with an issue traceable to the workmanship on the repair, it gets corrected. That is stated plainly rather than dressed up, and it is handled through the same estimating and scheduling process so the fleet is not left chasing it informally.

Bring it back with the original invoice number and a description of what is wrong. The release inspection record and the repair photographs are on file, which is what makes a workmanship question answerable rather than a matter of opinion.

The stages a unit passes through

  1. 01

    Unit Intake and Damage Photo Review

    Send unit number, make, model year, body type and eight to twelve photos from a Santa Ana yard and Estimating reviews them the same business day. We want a wide shot of each damaged side, a straight-on shot of the damage, a tight shot of any tear or crease, and one photo of the data plate. That first pass tells us whether the job is a panel repair, a structural repair or a rebuild, and it tells you whether the unit is worth bringing seventeen miles up the SR-55 corridor at all.

  2. 02

    Written Scope with a Price Band

    Estimating returns a written scope with labor hours, parts, materials and a price band rather than a single number, because nobody can see behind a crushed panel from a photograph. The band is honest about what could move it. You get line items you can drop, line items that are structural and cannot be dropped, and a plain note on which items a carrier normally pays. Fleet managers in Santa Ana use this document to build a purchase order before the unit ever leaves the yard.

    Authorization, Purchase Order and Deposit

    Work starts when we have written authorization, a purchase order or claim number, and the deposit. Repairs above two thousand dollars take a fifty percent deposit at authorization. Jobs above ten thousand dollars take an additional twenty five percent when the parts order lands at the shop, because that is the point where the money is committed to steel and glass. Everything else is billed on release. No work order opens on a verbal approval alone.

    Teardown and Supplement Findings

    Teardown is where the real scope shows up. Panels come off, the substructure gets measured, and hidden damage gets photographed before anything is repaired. If teardown finds a bent crossmember, a cracked mount or corrosion under a rocker, Estimating writes a supplement with photos attached and sends it to you and to the carrier the same day. You approve or decline each supplement line. We do not proceed on a supplement until somebody signs it.

  5. 05

    Structural Pull and Panel Repair

    Structural work goes on the frame rack, gets anchored, measured against published dimensions and pulled back to spec, with measurements recorded before and after. Panel work runs in parallel where the schedule allows: skins repaired or replaced, rails sectioned where sectioning is permitted, rivet bond and huck fasteners used where the original construction called for them. Box bodies, service bodies, trailers and cargo vans each get the joining method the builder specified, not whatever is fastest.

  6. 06

    Refinish, Graphics and Reassembly

    Refinish is done in a downdraft booth with sealed primer, controlled film build and a bake cycle before anything is reassembled. Fleet colors get sprayed to a recorded formula so the next unit in the same fleet lands on the same shade. Graphics, numbering and reflective tape go on after cure, not before. Reassembly follows with new clips and fasteners where the old ones were single-use, then the unit gets an alignment of doors, roll door tracks and liftgate travel.

    Quality Hold and Release Back to Santa Ana

    Quality and Release runs the unit through a written checklist: measurements on file, film build within spec, seams sealed, lights and markers working, roll door and liftgate cycling, graphics square, cargo area swept. Anything that fails goes back to the bay rather than out the gate. When it clears we call the number on the work order, send release photos, and hold the unit until a driver arrives. Most Santa Ana fleets send two people so nobody gets stranded.
